Job Description

The Administrative Assistant provides administrative support to multiple divisions; coordinating team training and travel, and assisting in daily functions.


**Must be located in Dallas, Texas or surrounding area. (Hybrid).


WHAT YOU’LL DO:

  • Administrative support

  • Support leadership by maintaining spreadsheets and calendars

  • Recurring billing, calendar management, event planning and coordinating

  • Arrange and coordinate travel accommodations, flights, itineraries, and amenities for departmental staff

  • Acts as the point of contact during travel emergencies and assists as needed

  • Approve Amex charges, review, prepare, and submit reimbursement expense reports to ensure accuracy, timeliness, and detail within specified deadlines

  • Coordinate with the accounting department on expense report schedules & assist/approve all expense reports for SD/IT in a timely manner

  • Act as liaison for setting and scheduling appointments and assist with scheduling conflicts as needed

  • Process all fax, mail, and scanned documents daily as needed

  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner

  • Collaborate with team members and provide backup administrative support as needed

  • Discretion and confidentiality regarding highly sensitive documents ensuring compliance with PCI, ABC Security procedures, HR information, and Executive level/Chief level management

  • Other duties as assigned by management

WHAT YOU’LL NEED:

  • Flexibility - ABC is a client centric organization requiring a great deal of flexibility

  • Regular and reliable attendance is required

  • High school diploma or equivalent

  • Minimum of 1 year experience as Administrative Assistant required

  • Moderate to advanced knowledge of Word, Excel, Outlook

  • Basic knowledge of standard business practices

  • Keep all Leadership and HR related information confidential

  • Excellent customer service skills

  • Expresses a high level of energy and attention to detail and professionalism

  • Ability to multi-task and change direction quickly with strong communication and interpersonal skills

  • Strong organization/prioritization skills and the ability to develop and manage a departmental filing system

  • Ability to work independently with little or no supervision

  • Ability to organize and handle a high volume of meetings and scheduling requests

  • Ability to problem solve using deductive reasoning skills in a timely manner

  • Ability to succeed in a team environment

  • Excellent written and verbal communication skills including punctuation, spelling, grammar and writing technique

  • Basic skills including but not limited to addition, multiplication and division of whole numbers, decimals and fractions

  • Desire to succeed in a fast paced environment

  • Must be extremely detail-oriented and able to make sound decisions

  • Flexibility & Adaptability – ability to change priorities quickly and often

  • Fast paced and positive

  • Employee may be required to furnish mobile services and devices necessary to receive business communications on a continual basis; including voice, text, email, and ability to connect to ABC’s enterprise email server

Salaries are based upon candidate experience, qualifications, and location, as well as market and business considerations. The hourly rate for this role will be $20 - $25 USD. Your recruiter can share more about the specific salary range for the job location during the hiring process. Also, certain positions are eligible for additional forms of compensation such as bonuses and commissions.
