About the Position

We are looking for a Coordinator to provide administrative and project management support across multiple functions in Chase Center’s Thrive City Programming and Operations departments. Our ideal candidates will have a positive attitude, strong attention to detail, high energy and flexibility. This position reports to the Senior Director, Thrive City Programming, Chase Center.

This is a full-time position based onsite in San Francisco, CA.

Key Responsibilities

  • Proactively complete assigned projects and initiatives ensuring timely progress/completion, preparation of budgets and team member accountability and communication
  • Develop Run of Show documents for Thrive City events and coordinate event briefs for inter-departmental distribution
  • Responsible for the management of all Thrive City storage and inventory including prizes, furniture, and signage
  • Prepare vendor and performer green room hospitality including riders, parking lists and VIP tickets
  • Coordinate and tracking ELAs, legal waivers and other legal documents
  • Process invoices (e.g., vendor and performer payments) in Coupa
  • Organize internal and external meetings including calendar notices, meeting agenda creation/distribution and meeting notes/next steps
  • Plan and deliver off-sites and community events
  • Develop meeting materials and presentations
  • Manage multiple calendars via Microsoft Outlook
  • Organize and maintain distribution lists
  • Organize and manage business travel (flights, hotel accommodations, etc.) and related itineraries
  • Submit expense reports in a timely manner
  • Support current and future initiatives
  • Other duties as assigned

Required Experience & Skills

  • Bachelor’s degree or equivalent work experience
  • Minimum 2 years of administrative/operations experience, preferably witing the sports and entertainment industry
  • Proficiency in Microsoft Office Suite
  • Ability to build positive working relationships with clients and colleagues at all levels within the organization
  • Excellent written and verbal communication, service and resolution skills; strong attention to detail
  • High integrity and ability to maintain confidentiality
  • Ability to work independently, meet deadlines, and efficiently lead and prioritize multiple projects at once in a fast-paced environment

Time Commitment

  • Ability to work nights and weekends as needed

Compensation

  • $26.00 - 28.00 per hour + Bonus
