What You'll Do:

To assist the HPWW Event Director with the administrative planning and delivery of Hyde Park Winter Wonderland and assist the Taste team with administration in the run up to Taste London. 

Key Responsibilities Include But Not Limited To:

Working directly with the Event Director (ED), the successful applicant will assist in the planning and administrative tasks at one of Europe’s biggest festive events - Hyde Park Winter Wonderland (HPWW). The role will also support the Taste London team in general administration from April – June each year. Responsibilities will include:

  • Providing strong administration support to the HPWW team, as directed by the ED.

  • Complete management of event invoices; processing invoices, filing and meticulous data entry into the event budget.

  • Supporting the team with data entry tasks and organising and maintaining the event’s filing systems.

  • Creating meeting agendas, taking minutes in meetings and supporting with the follow up of any required actions.

  • Supporting the event team with the daily management of HPWW’s two project management systems.

  • Preparing supplier and operator contracts, as directed by the ED.

  • Managing Vendor Governance of new suppliers

  • Any other duties within the scope of the role that may be required and requested by the ED.

Unusual Challenges or Circumstances   e.g. shift(s)/ unsocial hours/ travel etc

  • Some evening and weekend work during the autumn and winter periods

  • Working onsite in Hyde Park during the live event

Key Results Areas

  • Efficiently completing administrative tasks on time.

  • Ensuring invoices are processed, in line with payment schedules and signed off in good time and the budget is updated accurately.

  • Effectively plan ahead and organise work efficiently. Being able to meet deadlines and support ED in managing all advancing, communications and administration to ensure professional delivery of ED’s areas of responsibility.

  • Consistent positive feedback from internal (company teams) and external stakeholders (contractors/venues).

You Will Have The Following Strengths:

  • Strong administrative skills and excellent attention to detail

  • Ability to communicate with multiple stakeholders

  • Experience in time management and prioritisation of tasks

  • A desire to work in an administrative role

  • Calm under pressure

  • Experience in bookkeeping and administration tasks is highly desirable

  • Working knowledge of MS Office software, including Word, Excel, Outlook and PowerPoint.

  • Strong verbal and written communication skills

  • Ability to build long lasting working relationships with internal and external stakeholders.

  • Ability to self-direct and motivate and work with minimal supervision

  • A strong team player that is flexible dependent on business demand

  • Excellent time management skills, ability to work calmly under pressure whilst meeting deadlines

  • Strong organisational skills with the ability to multitask and prioritise in a dynamic working environment

  • Ability to use initiative and ability to excel in a fast-paced environment when handling contractors onsite.

  • Ability to be commercially aware and solutions focused
