Job Purpose: This position provides administrative support to the People Team to facilitate the operational functions of the People Department. Responsible for answering employee questions and assisting in the areas of general HR admin, onboarding of new hires, personnel file maintenance, office services support and various administrative tasks.
Duties:
- Handle People administration duties including but not limited to preparing weekly birthday reports, sending daily birthday greetings, preparing monthly anniversary reports, anniversary acknowledgements, and contact updates for executive office.
- Maintain employee information through updating database systems, spreadsheets, HRIS entries, personnel files, and various reports.
- Send internal announcements regarding new hires, relocations, status changes and terminations.
- Prepare weekly/monthly Headcount and Forecasting reports for the finance team.
- Provide onboarding support such as sending new hire calendar announcements, creating new hire packets and personnel files, organization of first day, liaising with IT and office services to ensure prepared for new hire arrival, conducting office tours as needed, completing background checks on new hires.
- Work closely with new hires to monitor completion of required documents in HRIS, collect and review ID for I9 verification and ensure proper processing.
- Provide internship program support such as drafting offer letters and sending welcome emails.
- Provide offboarding support by monitoring end dates of temporary employees and interns, alerting IT of exiting employees, preparing exit packets, providing process details to exiting employees, working with IT on collection of company equipment.
- Assist with poster compliance for US offices.
- Provide support to the EVP, People by completing expense reports and general admin duties.
- Assist People Department as necessary with special projects or tasks.
- Provide back-up Reception coverage in emergency situations. Assist the office services team by providing reception coverage, assisting with event coordination, and maintaining a professional and tidy office environment.
- College Degree preferred and 1+ years HR/People specific experience.
- Excellent customer service skills a must with a proven ability of building good interpersonal relationships with people across the organization.
- Ability to work effectively in a team environment.
- Proficient with Microsoft Office applications, specifically Excel.
- Must be extremely detailed oriented with excellent analytical and organizational skills.
- Ability to manage multiple priorities and strict deadlines.
- Well developed problem-solving skills and ability to work independently to resolve issues.
Base salary range: $45-50K, plus bonus potential if applicable for role.
Actual base salary is dependent on several factors including but not limited to; market dynamics, location and region, experience, specialized skills/training (education), level of responsibility, budgetary considerations, tenure at the company (for current employees), etc. The salary range listed is just one component of the total compensation package for employees.
