Job Description

POSITION OVERVIEW:

Under the general direction of the Manager of Facilities and Space Planning, the Facilities Coordinator supports office operations by organizing, monitoring, and coordinating facility maintenance operations for the corporate facility.  This position will follow up and complete delegated tasks (which will vary depending on the needs of the company and team), set high quality standards for maintenance work, as well as track and schedule building maintenance and installation projects.  The position will also coordinate facility and maintenance projects, desk moves, conference room setup and breakdown, maintenance logs and vendor relationships (plumbing, electrical, lighting, coffee vendor, etc.).

ESSENTIAL FUNCTIONS:

  • Support offsite and onsite events and meetings
  • Conduct daily floor walkthroughs, ensuring office space is up to corporate standards
  • Assign work orders and service repairs, and track all service calls for maintenance vendors
  • Coordinate service calls for maintenance issues/needs
  • Track and maintain the Preventative Maintenance programs for corporate facility (plumbing, confidential shredding, water filtration, electrical issues, locksmith, office cleaning, pest control, HVAC services, etc.)
  • Conduct weekly walkthrough of floors with supervisor, and track issues and preventative plans 
  • Ensure the overall cleanliness and upkeep of the office space
  • Manage desk moves and new hire set ups, including checklist of standard desk components, and ensure clean desks for new hires
  • Pack up and dispose office supplies from terminations
  • Assist with space planning and utilization, ensuring efficient use of office space and resources and performing space audits
  • Organize and inventory corporate storage areas
  • Assist with special event setups and breakdowns
  • Monitor emails to ensure requests are answered promptly and professionally
  • Conduct handyman repairs such as tightening furniture, door adjustments, mounting frames and bathroom fixtures
  • Install furniture accessories such as monitor arms, keyboard trays, and sit/stand desks
  • Manage digital locker assignments and inventory in IWMS database

QUALIFICATIONS AND SKILLS:

  • 3 years of experience in operations, facilities, or space planning 
  • Proficient knowledge of building systems
  • Available to work off hours as needed for repairs, technicians and ad hoc projects
  • Bachelor’s Degree or related work experience preferred
  • Able to lift 30 pounds
  • Knowledge of how to use MS Office software, Google drive and Google products, shared files, and tenant work order system/visitors portal
  • Ability to read floor plans
  • Knowledge of how to use an IWMS system to maintain floor plans and accuracy

Per the NYC pay transparency law, the hiring range for this position is $45,000 to $62,500.

As a candidate for this position, your salary and related elements of compensation will be contingent upon your work experience, education, skills and any other factors Major League Baseball (MLB) considers relevant to the hiring decision. In addition to your salary, MLB believes in providing a competitive compensation and benefits package for its employees.
