Job Summary

The Division Specialist provides high-level administrative and operational support to the SVP and Global Partnerships team. This role is critical in ensuring smooth execution of partnership activations, premium services, and sales initiatives. The Division Specialist will support SVP and team members in all aspects of their work, including project coordination, divisional initiatives, and administrative functions. This position requires a proactive, detail-oriented individual capable of managing multiple priorities and contributing as a collaborative team member.

Essential Functions

  • Provide direct administrative support to the SVP and Global Partnership executives, including scheduling, correspondence, travel arrangements, and meeting coordination.
  • Support team members with divisional projects and initiatives, including research, sales outreach, reporting, gifting and project management tasks.
  • Maintain and organize critical documentation, files, and records related to partnerships, premium, activations, and other miscellaneous divisional operations.
  • Answer and filter client inquiries via Microsoft 365, manage high-volume calls and emails, create and maintain client records, build new account leads in CRM, assign leads to the sales and services team, and manage inquiry lists while screening incoming calls.
  • Serve as liaison with Premium Services with monthly AR and AP reporting with Finance/Accounting as needed, and track, manage, and support contractual ticket banks at GGA as directed by the Premium Services team and internal ticket requests.
  • Track budgets, subscriptions, and memberships; spearhead company initiatives; and proactively manage industry and citywide events, outings, and associated budgets, including industry conferences, chamber events, conventions, and community events.
  • Manage and coordinate internal team activities, including staff meetings, team-building events, volunteering, and other staff engagement initiatives. Oversee the team calendar, events calendar, and meeting agendas, and provide recaps to ensure clear communication.
  • Lead the onboarding process for all new Global Partnership staff, ensuring a seamless integration by preparing workspaces, equipment, and system access for day one, coordinating first-week schedules with hiring managers, facilitating team orientation, maintaining org charts, and partnering with HR and IT. Manage office essentials, including supplies, business cards, and other necessary resources.
  • Other special projects or assignments as directed by Manager.

Required Qualifications

  • BA/BS Degree (4-year)
  • 4-6 years related work experience
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook, CRM, and Invite Manager
  • Ability to communicate effectively and professionally with clients, prospects, and co-workers within the department
  • Excellent relationship-building skills
  • Excellent communication and written skills in English
  • Ability to problem solve and troubleshoot quickly and efficiently
  • Excellent time-management skills
  • Highly organized with good coordinating and project management skills
  • Ability to think outside the box creatively for new team events
  • Work efficiently in a constantly changing environment
  • Ability to provide thorough analysis regarding ticket inventory
  • Ability to work non-traditional office hours such as evenings, weekends, and/or holidays, as needed

Pay Scale: $60,000 - $70,000

Bonus: This position is not eligible for a bonus under the current bonus plan requirements.

Benefits: Full-time: You will be eligible for medical insurance benefits in accordance with the terms of the Company's benefit plan. Currently, full time employees are eligible for these benefits on the first day of
employment.
