The function: 

The People team at Genius serves a client group of circa. 2,000 colleagues In 13 countries. The People function has seven pillars of responsibility; Talent Acquisition; Reward; Training & Development; Employment Counsel; People Systems, Data & Process; People Partnering and; People Operations. People Partnering and People Ops work hand in glove across the People lifecycle, calling on the subject matter expertise of other pillars. People Partnering look across the department/functional relationships globally whereas People Operations look across the country and global people propositions.  

Role overview:

This is a great opportunity for someone who is familiar with working in a fast paced and busy HR or people environment. You will be part of our busy UK People Operations team with responsibility for providing support, advice and first class administration skills across all aspects of the HR life cycle; Focused predominantly on supporting our UK Genius Team (circa 300 employees) but you will be a key member of our Global People Operations team.

Main Responsibilities  

  • Support day-to-day operations of the People Operations Team with a strong focus on providing a first class, responsive, right first time, employee experience on any of our employee lifecycle processes.
  • Play a key role in onboarding new Geniuses, preparing and issuing contracts of employment and completing new starter documentation, including right to work checks
  • Work closely with Talent Acquisition, Technical Support and Operations teams, taking the lead for the People Team on ensuring smooth on boarding and offboarding for new starters and leavers.
  • To host HR induction meetings for new starters in person sometimes in our London office and virtually too, sharing information about the company and our culture, together signposting new starters to our key communication channels.
  • Manage our very busy UK people team inbox, acknowledging, responding, and resolving general people and HR related enquiries on a daily basis.
  • Play an key role in collating all employee changes which impact monthly payroll i.e. salary changes, starters, leavers, bonuses, hours changes, other variable inputs, updating this information in Workday our HCM system. Accuracy and attention to detail is critical for these elements of the role.
  • Maintain accurate records regarding regarding company benefits such as Cycle to Work Scheme, BUPA, season ticket loans etc. updating these with starters, leavers and changes.
  • Maintaining accurate employee files in Sharepoint ensuring that all employee related documentation is filed securely, accurately and frequently.
  • Performing file audits to ensure that all required employee documentation retained and maintained is GDPR compliant.
  • Managing requests for information or preparation of documentation/letters from People Business Partners.
  • Maintain technical and legal knowledge through continued learning and development

Key Skills 

  • Experience of updating and working with HRIS systems, preferably Workday
  • Previous experience of working with a CRM/ticketing system such as ZenDesk would be advantageous
  • Strong excel, word, DocuSign and Sharepoint skills advantageous
  • Demonstrable customer first skills and employee centric service experience
  • Attention to detail and accuracy in all tasks undertaken
  • Ability to check and identify errors or anomalies in information
  • Able to manage and prioritize own workload regarding routine requests.
  • Ability to draft employee letters regarding our employee lifecycle processes e.g. maternity leave, paternity leave, garden leave, payroll anomalies, probation periods, references, etc.
  • Interested in driving continuous improvement in our processes and ways of working.
  • Passionate about providing prompt, accurate and timely advice/responses to our employees.
