VisioLab is growing fast, and our Osnabrück headquarters is the beating heart of the company. We need an Office Manager who takes ownership of the physical space, the day-to-day operations, and the small (and big) things that make a workplace feel like home for a high-performing team.

This isn’t about ordering pens. It’s about creating an environment where people do their best work.

What You'll Do

• Own the daily operations of the Osnabrück office: facilities, supplies, vendors, and logistics

• Coordinate onboarding logistics for new hires: equipment, workspace, and first-day experience

• Organize team events, offsites, and company culture initiatives

• Manage relationships with external vendors, landlords, and service providers

• Support the leadership team with travel arrangements, scheduling, and administrative tasks

• Be the go-to person who solves problems before anyone else notices them

• 2+ years in office management, executive assistance, or operations coordination

• Outstanding organizational skills - nothing falls through the cracks on your watch

• A proactive mindset: you anticipate needs, you don’t wait for requests

• Strong communication in German and English

• Comfort with tools: Google Workspace, Slack, project management software

• A warm, positive energy that makes people feel welcome

• A key role in a fast-moving international team - you keep things running
