We’re looking for someone to come onboard as our PA and Office Support extraordinaire, where no two days are ever the same! You’ll be teaming up with our Business Development Manager to help craft amazing and creative itineraries, sourcing hidden gems for events and client meetings all over the globe.
As well as be the welcoming face of our studio based in Brighton and ensuring every single detail is meticulously tended to, you’ll join forces with our Office Manager to help maintain the awesome studio vibe, from doing the very small things to the big. You’ll help create fantastic events from festive parties to project go-live celebrations or summer soirees. You’ll also be able to creatively step into the into the world of studio merchandise, coming up with ideas for things that will captivate and inspire others at our events, conferences, and festive gift ideas.
This role is predominantly Studio based, with the opportunity to work from home one day a week if desired.
Roles and Responsibilities
- Working closely with the Brighton studio Office Manager to assist in Office Management tasks, such as dealing with deliveries, couriers, food delivers and orders, helping with Christmas gifts orders and distribution and ensuring the studio is always kept tidy.
- Being the first point of call to visitors.
- Assist Office Manager with the organisation of Studio events. i.e Christmas parties, project go-live celebrations, monthly lunches.
- Reconcile credit card usage, process expenses through the studio’s expenses system.
- Supporting colleagues with administrative tasks, particularly the HR and Core Services team.
- Working closely with the Business Development Manager to organise travel and accommodation, including creating itineraries for international travel.
- Research and source appropriate venues and restaurants nationally and internationally for client meetings and entertainment.
- Act as an occasional PA for the studio directors, helping with the administration as required including expenses and travel assistance.
- Arranging couriers for international shipping.
- Purchasing tickets for events and conferences – establishing the best way to order bulk tickets most cost-effectively.
- Type up, organise, and file notes taken from client calls, ensuring these are concise and easily accessible by creating an organised filing system in OneDrive.
- Involved with ordering and creating ideas for studio merchandise for events and conferences.
