ABOUT THE ROLE

The PRO/FM is an integral position responsible for providing experienced PRO services and facility support for the office.  The role requires professionalism, proactive government interaction, customer service, attention to detail, communication skills and the ability to learn quickly.  The position requires 24/7 availability and reports to the Global Facilities Director.

ROLE & RESPONSIBILITIES
  • As a PRO
  • Establishing and maintaining a channel of communication between Nielsen and government departments
  • Manage and secure business license renewals, and visas for the business, the employees, dependants and other workers and also arrange employees' medical check-ups as part of the residency visa process.
  • Administering the following for the business, employees and their dependants liaising with local KSA govt ministries maintaining relevant government/business portales, licenses and certificates monitoring/renewing employee residence permits
  • Liaise with embassies/foreign diplomatic missions to enable business visits
  • Provide expert advice to the business/employees on visa formalities and other government-related procedures
  • Obtain new residence visas for dependents of employees new employment visas/work permits for all expatriate employees with renewal of residence visas for dependants
  • Facilitate obtaining/renewal of expatriate passports for employees and their dependents
  • Assist and follow-up cancellation of visas for employees and their dependents
  • Liaise with the KSA Immigration department in obtaining business entry visas for global business visitors accountable for maintaining accurate records for PRO-related items    

  • As a Facilities Manager (FM)
  • Manage facilities activities and resolve day-to-day facilities items and repairs including with the landlord building fire safety compliance security manage office security specifically alarms, access control and badges
  • Assist with facilities budget management and spend accountability office staff support
  • Ensure office supplies and break rooms are adequately stocked and maintained to support event management 
  • Asset management other regulatory compliance and record keeping vendor/contractor management contract negotiation for manager approval and archiving scope of services and associated contracts invoice review and submitting to Nielsen finance, follow up where necessary liaison for lease activities as required retain lease agreement copies weekly updated C.A.R status by taking inputs from IT and sharing concerns budgets & planning
  • Assist in preparing the yearly facilities budget for manager review and provide project management for key initiatives both short and long-term goals relative to the facility
  • Recommend and implement innovative ideas, programs and solutions designed to support the facility's growth and cost savings-engage in project management as needed Other duties as assigned

  • QUALIFICATIONS & SKILLS
  •  Must be fluent in Arabic and English   
  • Previous residency/resident in the Kingdom of Saudi Arabia for a minimum of 5 years  
  • Professional working experience in global multinational companies   
  • High levels of positive communication, leadership and organizational skills, punctuality  
  • Strong time management skills focusing on multitasking, delegating, monitoring to completion   
  • High attention to stakeholder satisfaction and customer service   Ability to detect and resolve problems efficiently   
  • Quality and result-oriented
