Senior Associate, Contracts Administrator

The Venues and Infrastructure (VNI) team plays a critical role in delivering competition and non-competition venues that are functional, innovative, and fully accessible for the Olympic and Paralympic Games. As part of the larger Sport and Games Delivery group, the VNI team ensures that all venues are designed, developed, and delivered with the highest standards for functionality, sustainability, and inclusion within time and budget limits.

 

Reporting to the Procurement Manager, the Contracts Admin manages the contracts execution process. The Contracts Admin will assist the Procurement Manager to convert tender documents from the successful bidders into contracts using established templates and processes. In addition, the Contracts Admin will play an integral role in being the point of contact for the suppliers as they on-board into relevant LA28 supplier management systems, and ensuring the contracted terms are reflected into construction management and invoicing systems. This role will require deep collaboration across Finance, Legal, Procurement functional areas, as well as partners and suppliers.

 

The successful candidate will have a high attention to detail, especially in the development of construction related contracting and procurement documents.

Key Responsibilities:

Contracts Management

• Prepare contracts using established templates, in partnership with Construction Management teams
• Enter NDAs into LA28 systems and complete relevant onboarding forms for successful suppliers
• Ensure that agreed scopes, milestones, costs, and other terms from the successful bidders are reflected in the contract documents
• Manage contract execution (signatures, correspondence) in partnership with Legal teams
• Store executed contract documents in relevant repositories ensuring key terms and deliverables are reflected in construction management and invoicing systems

Background & Qualifications:

• Minimum 4+ years’ experience in procurement and/or contracts management of infrastructure and temporary works. Games and major event experience a plus
• Knowledge of purchasing, payment, and contract management systems, including but not limited to Agiloft, Workday, Textura, CMiC, Compass and similar
• Experience working with a contracted workforce
• High attention to detail in contract documents and supplier correspondence

Physical Requirements and Working Conditions

• The position is in Los Angeles with in-person attendance required
• Occasional travel to construction sites
• The majority of work will be conducted in an office setting, requiring extended periods of time using computers, phones, and other office equipment.
• The LA28 office is an open floorplan working environment; employees must be able to work efficiently in an open cubicle environment.

The annual base salary range for this position is $73,000.00 - $95,000.00. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28’s operational business needs and applicable law.
