We are looking for an Executive/Senior Executive – Admin & Facility to support day-to-day facility, transport, and administrative operations. The role focuses on coordination, execution, and reporting to ensure smooth office operations, employee safety, and effective vendor management.
Facility Management Support
Coordinate daily facility operations including housekeeping, pantry, security, and maintenance services
Track and follow up on infrastructure issues related to workstations, HVAC, electrical, plumbing, and utilities
Assist with preventive maintenance schedules and ensure timely closure of facility complaints
Conduct routine floor inspections and maintain issue/snags trackers
Transport Operations Support
Coordinate employee pick-up and drop operations as per approved rosters and shift timings
Support route planning, vehicle allocation, and escort deployment
Track daily trips, delays, no-shows, and exceptions; escalate issues when required
Coordinate with transport vendors to ensure vehicle availability during peak hours or emergencies
Vendor Coordination
Coordinate with facility and transport vendors for service delivery and issue resolution
Track vendor attendance, service quality, and SLA adherence
Collect, verify, and maintain vendor documentation (vehicle details, driver IDs, licenses, insurance, etc.)
Safety & Compliance
Support implementation of safety guidelines, especially for late-night transport operations
Assist in fire drills, safety audits, and emergency preparedness activities
Report incidents, near misses, and safety concerns to senior stakeholders
Employee & Stakeholder Coordination
Act as the first-level point of contact for employee facility and transport queries
Coordinate with HR, Security, Admin, IT, and Business teams for smooth operations
Communicate SOPs, guidelines, and process updates to employees and vendors
MIS & Documentation
Maintain daily and monthly MIS for facility and transport operations
Update trackers for complaints, route changes, vehicle deployment, and vendor performance
Support bill validation by cross-checking trips, headcount, and services delivered
Cost Control & Process Support
Support seniors in identifying cost-saving opportunities and process improvements
Ensure optimal utilization of vehicles and facility resources
Required Skills
Working knowledge of facility management, including soft services and basic M&E systems
Experience supporting security operations, employee transport, vendor coordination, and procurement activities
Vendor coordination and follow-up skills
Understanding of safety guidelines and compliance requirements
Good understanding of budgeting and cost control
Strong communication, coordination, and reporting skills
Proficiency in MS Excel and documentation
Qualifications & Experience
Bachelor’s degree in Administration, Facilities, or a related field
2–4 years of experience in Admin/Facility/Transport/Office Operations
