Let’s start with the role

As the Workspace Manager, you will lead the Front Office Team, ensuring they are well-prepared and informed to deliver an exceptional experience for both guests and employees from check-in to check-out. Reporting directly to the Finance Director, you will be responsible for managing the first impressions of our guests and employees, executing tasks to the highest standards. 

As a Workspace Manger, you will:

  • Manage refurbishments, renovations, expansions, and office moves to ensure smooth execution.
  • Oversee and negotiate contracts with service providers for construction, maintenance, parking, cleaning, and furnishing.
  • Supervise multi-disciplinary teams, including cleaning and maintenance staff.
  • Monitor and manage budgets for facility-related expenses, optimizing for cost-efficiency without compromising quality.
  • Allocate and manage office space, supporting space planning and expansion efforts.
  • Ensure compliance with all safety, security, and health protocols.
  • Oversee subcontractor management for both soft services (e.g., landscaping, waste management, janitorial) and hard services (e.g., electrical, plumbing, HVAC).
  • Provide technical guidance and training to coworkers, coordinating work and assigning tasks.
  • Manage projects, risks, and opportunities for contract improvements.
  • Ensure the delivery of services as defined in the schedule, guaranteeing implementation and compliance with best practice procedures.
  • Develop strategies to optimize facility management, improve operational efficiency, and contribute to the company's overall objectives.

What you’ll bring:

  • 3+ years of experience in a facilities management position in a fast-paced environment.
  • Knowledge of basic project management processes and tools.
  • Strong understanding of logistics management.
  • Well-organized and able to optimize the use of space and equipment.
    Excellent verbal and written communication skills.
  • Strong project/time management skills.
    Commitment to delivering a high level of customer service to both employees and visitors.
  • Fluent in English.
  • The successful candidate will be based on-site 5 days a week (Mon-Fri).
