Administrative Support provides a wide variety of office support and administrative functions in support of the department and/or leader. Requires proficiency in the full range of general office services and functions as well as knowledge of the services of their department and work assignments while handling details that may be confidential and critical in nature.
JOB SUMMARY:
The Executive Assistant II is responsible for a broad range of administrative and clerical duties in support of leadership and/or departmental operations. Responsibilities may include making travel arrangements, compiling and submitting expense reports, assisting with gathering data, ordering office supplies, maintaining files and processing department reports and correspondence.You will be responsible for supporting and maintaining day-to-day calendar and travel management, including proactive conflict resolution. You will partner with supported colleagues to leverage time effectively and serve as a liaison/representative to establish effective collaboration with clients, assistants, relevant internal peer groups, and external vendors, as appropriate to leverage and deliver on daily tasks.Additionally, you will extend responsibility for planning, organizing, and executing major projects (e.g., calls and meetings entailing coordination of schedules) and produce well-organized, accurate deliverables with minimal guidance. You will also execute tasks related to accounting and expense administration, work
collaboratively with other assistants and Team Leader/Manager to provide effective backup coverage, adopt the use of current tools and leverage the use of new tech/solutions, maintain strong communications (verbal and written), and confidentiality of highly sensitive information. You will actively participate in team meetings and training sessions and contribute to a vibrant and collaborative community.
MINIMUM QUALIFICATIONS AND REQUIREMENTS:
• University degree
• 2+ years of experience as an Executive Assistant
• Ability to interact with colleagues and customers in a tactful manner and recognizes the importance of building professional and positive working relationships
• Strong time management skills, ability to prioritize and use time effectively and efficiently
• Strong communication skills, both verbal and written, with the ability to communicate in a clear and and presentation applications
PRINCIPAL DUTIES AND RESPONSIBILITIES:
• General office duties, including but not limited, to copying, filing, faxing, mailings, typing of correspondence, initiating and responding to emails and conference call scheduling.
• Maintain schedules, plan events, coordinate onsite meetings, and conferences.
• Serve as the first point of contact and triage all requests and help streamline communications and other activities.
• Prepare standard reports, memos, letters, correspondence, presentations, and other documents.
• Manage and maintain travel arrangements, meeting registrations, and reservations.
• Coordinate with Workplace Services team to address department needs.
• Organize all aspects for departmental offsite conferences and external events, including catering and transportation.
