The Role:

The role supports our Legal in all day-to-day activities and requires close management, the ability to prioritise, and supreme levels of organization and attention to detail. The successful candidate will be a self-starter capable of quickly learning context to apply in their day-to-day duties. Enthusiasm and initiative and ownership for this role is a must. The candidate should possess the desire go above and beyond.

Main Responsibilities:

  • Chief responsibility for running the majority of non-legal aspects within the legal team. As Legal EA, you’ll be the glue that binds the team together!
  • Custodian of the Learning and Development legal team budget – taking a proactive approach to sourcing training providers and sessions, interacting with people within the business to schedule teach-ins and managing approval process for team members utilising the L&D budget
  • Assisting the Head of Legal with team workflow each week. Information gathering ahead of the weekly workflow call from various teams across the business and running workflow call with HoL. Keeping a sharp eye on email traffic to ensure all work is being picked up by a team member.
  • Ownership of legal shared mailboxes, making sure all work is allocated to the relevant lawyer and a timely response is given to enquiries. Following up internally where further information / chasing is required.
  • Working with HoL on organising training days/strategy days/team events, including generating ideas and running sessions and taking notes in key meetings and away days.
  • Invoicing and budget tracking; working closely with the finance and HoL to assist with team budgeting, attending budget meetings on behalf of the Chief Legal Officer.
  • In charge of keeping the “Legal Hub” up to date, the central depository for legal team info, know how and templates.
  • Responsibility of shared legal folders, filing and archiving documents.
  • Assisting with onboarding of new team members.
  • Occasionally required to cover reception on a rota with the other assistants.
  • Liaising with finance in submitting legal invoices / being client facing to legal suppliers and ensuring invoices are paid on time.
  • Inbox and management for CLO. Travel booking and expenses for CLO and HoL where required.
  • Ad hoc projects as required.

Required skills:

  • Passionate about working in a team and building team culture – as Legal EA you will play a key role in fostering the team’s relationship with the rest of business
  • Proven experience handling confidential documents
  • Personable and a desire to build relationships within the team and outside; being a key “ambassador” for the legal team with the rest of the business
  • Advanced MS Word experience – experience in formatting and editing complex documents
  • Willingness to “muck in” and be able to balance competing priorities and deadlines
  • A problem solver who takes a proactive approach in dealing with matters and helps the legal team thrive in the process
  • Happy to assist the wider business as required

Nice to have:

  • You have experience working in a regulated and/or listed business
  • You enjoy working in a fast paced, fun environment
  • You have experience with Workday, Docusign, Slack, Adobe, Juro, Salesforce and Monday.com
