Position Title: HR Associate, Payroll & Compliance

Reporting To: Senior HR Generalist

Location: Boston, MA (office is currently in Newton, MA) 

Compensation

HR Associate, Payroll & Compliance 1 ($68,000-$78,000), depending on qualifications 

Position Summary: The HR Associate, Payroll & Compliance will be responsible for processing payroll, ensuring compliance with federal and state laws, including managing leaves of absence, and maintaining the confidentiality of sensitive employee information. Reporting to the Senior HR Generalist, the HR Associate will work closely with the finance team to ensure accurate and timely payroll processing, support employee benefits administration, and provide exceptional customer service to employees. They will also be responsible for managing and assisting with year-end payroll reporting. This role requires critical thinking and a continuous improvement lens to all domains to ensure efficiency and quality as the organization scales 

Key Responsibilities

  • Process payroll for a 200+ person organization accurately and on time, ensuring compliance with all federal, state (20+), and local regulations.
  • Ensure accuracy and integrity of payroll data by regularly auditing and reconciling employee records, benefits, taxes, and deductions.
  • Respond promptly and professionally to employee inquiries regarding payroll and leave management, and resolve any issues or discrepancies in a timely manner.
  • Prepare and distribute payroll reports in collaboration with Finance, including year-end reporting.
  • Input and maintain up-to-date employee records in the HRIS/payroll system, including setting up new hires, processing terminations, updating employee information, etc.
  • Stay up-to-date and ensure compliance with employment laws and regulations in all relevant federal, state and local jurisdictions, including posting of required notices in offices and digitally.
  • Create and maintain compliant HR-related policies and procedures, reviewing at least annually.
  • Work with internal and external stakeholders to coordinate the end-to-end leave of absence process (eligibility, application, payments, reimbursements) and related communications.
  • Prepare and distribute leave reports as needed, including leave balances, usage, and accruals, to ensure employees and department managers have access to accurate information.
  • Apply critical thinking and a commitment to continuous improvement to drive efficiency and quality across all domains as the organization scales
  • Take personal responsibility for keeping all Well systems and data, including sensitive member and employee data, secure and safe, according to Well data and security policies as well as HIPAA guidelines and employer best practices.

Preferred Qualifications

  • Minimum of two (2) years of relevant experience in payroll processing and HR compliance
  • Proficiency in multi-state payroll processing
  • Experience with an HRIS system (Trinet/Zenefits a plus)
  • Familiarity with federal and state-specific employment laws and regulations
  • Experience with administration of benefits, including 401k
  • Exceptional judgment, maturity and discretion in handling confidential matters and private information
  • High level of attention to detail
  • Critical thinking and problem solving skills
  • Data analytic and reporting experience a plus
  • Able to prioritize in a fast-paced environment and meet changing deadlines and priorities on multiple simultaneous projects
