About You

We’re looking for an Office & Team Assistant to support our ever-growing agency as we gradually return to the office. We’re looking for someone who can contribute energy and enthusiasm as well as excellent organisational skills to help make our office the best space it can be as well as supporting our Senior Management in day to day tasks.

This is a hybrid-working role with three days in the office and two working from home.  

As the team return to the office, its more important than ever that we create a flexible workspace that not only provides areas to focus and collaborate but also reflect the fun energy of our agency. Office Assistant responsibilities include:

• Ensuring the office runs smoothly at all times and liaising with the buildings Facilities team with any issues that need resolving
• Making sure our break-out areas and meeting rooms are clean, tidy & fully functional
• Keeping kitchen & snack points fully stocked, including filling fridges & fruit bowls and managing weekly orders
• Ordering stationery as and when needed
• Re-stocking the printer with paper, changing ink and liaising with IT when any issues occur
• Managing the agencies on-site and off-site storage areas. Keeping them tidy and working with client teams to move old stock to make room for new stock
• Becoming one of the buildings First Aiders & Fire Wardens (training will be provided)
• Working alongside the social team to help organise the agencies fun social calendar for the year

The other half of this role is to support our amazing Senior Managers as a Team Assistant in a variety of projects & tasks, including:

• Support teams in booking travel including flights, hotels & transfers, following travel policy guidelines
• Supporting Senior Management in submitting weekly time reports and monthly expense reports
• Supporting with any ad-hoc projects including off-site meetings, client dinners and gifts for clients etc
