Job Description

We are seeking a highly organized and detail-oriented Operational specialist to oversee key administrative and financial processes within the organization. This role focuses on invoice management, purchase order (PO) raising, communication with internal and external stakeholders, and ensuring alignment between contracts and invoices and related administrative responsibilities as per immediate needs. The ideal candidate will have certain experience in accounting or finance, with additional language skills in Spanish or Portuguese considered an advantage.

What you will be doing :

  • Invoice Management: Process, review, and track invoices to ensure timely payments and accurate records.
  • Purchase Order (PO) Raising: Create and manage POs while ensuring compliance with company policies and procedures.
  • Contract Alignment: Verify that invoices align with contract terms and conditions; investigate and escalate discrepancies for resolution.
  • Stakeholder Communication: Serve as the primary point of contact for internal teams (finance, procurement, operations) and external vendors (Sonia?) to resolve queries and ensure smooth workflows.
  • Budget Support: Assist in monitoring planned budgets an by maintaining accurate records of financial transactions and commitments.
  • Compliance Assurance: Ensure adherence to internal financial controls, company policies, and external regulatory requirements.
  • Administrative Support: Oversee various office management tasks, including coordinating meetings, managing office supplies, utilities and office-connected invoices, supporting other administrative functions as needed to ensure efficient operations.
  • Budget Support: Assist in monitoring budgets by maintaining accurate records of financial transactions and commitments.
  • Compliance Assurance: Ensure adherence to internal financial controls, company policies, and external regulatory requirements.

We are looking for someone who :

  • Holds a Bachelor’s degree in Business Administration, Accounting, Finance, or a related field.
  • Possesses minimum 2 years of experience in administrative or accounting roles.
  • Demonstrates familiarity with invoice processing systems and purchase order management tools.
  • Exhibits strong organizational skills with exceptional attention to detail.
  • Communicates effectively with diverse stakeholders.
  • Is highly skilled in using the Microsoft Office Suite (Excel, Word) and accounting software. 
  • Communicates effectively in English, both orally and in writing. Knowledge of Spanish or Portuguese is a strong advantage.
  • Has experience working in a corporate environment with cross-departmental collaboration.
  • Understands financial compliance processes within multinational organizations.
  • Manages multiple tasks effectively and prioritizes tasks under tight deadlines.
