About the right team member

As the Senior Recruiting Coordinator, you will play a vital role in supporting our end-to-end recruitment process. This will include managing candidate experience and collaboration with teams across multiple business areas. You will also support the development and administration of recruiting programs. You will work with recruiters and hiring managers to document requirements of job openings as necessary to open requisitions. You will determine appropriate recruiting sources for advertising and posting positions. Through your professionalism and commitment to delivering a world-class candidate experience, you will promote the company image to candidates and external service providers. You will help to surface candidates and develop networks of people and processes to support a strong pipeline of qualified candidates. You will support sourcing of candidates and will conduct pre-screens of resumes as needed. You will help with creating interview guides and ensure these are uploaded in Greenhouse. You will maintain accurate and up-to-date data to provide analytics on the interview process and candidate experience. You may help to negotiate and/or support hiring managers in developing new hire compensation packages/offers. You will also support the new hire onboarding process globally which includes ensuring each new hire has system access, has completed a background check, and will work with the People & Culture team to ensure the new hire is in our HRIS, Dayforce. You will work with agencies, recruiting contractors and/or internet website representatives while conducting employment advertising campaigns. You may be asked to provide performance feedback on all recruiting agencies/sources. You may be asked to develop, support and maintain college recruiting, affirmative action and career development programs. And most importantly, you will serve as an expert on candidate experience and talent acquisition.  

About the role

  • You will work closely with our recruiters to optimize our end-to-end hiring process, from the initial creation of job descriptions to offer management. Your ability to efficiently handle multiple tasks will ensure a smooth and seamless experience for both candidates and hiring managers. You will provide administrative support for a wide variety of recruiting activities including scheduling interviews, attracting talent to open positions and greeting candidates while creating a positive experience for them. This role works effectively with internal and external team members and candidates, possesses great communication skills, and enjoys the challenges of helping to build a great organization of talented individuals 
  • You'll be the main point of contact for prospective candidates by guiding them through our recruitment process. Your exceptional interpersonal skills will create a positive and engaging candidate experience  
  • Your organizational skills will shine as you manage our ATS, Greenhouse, and keep candidates up to date on next steps in our recruitment process. You will also nurture a pipeline of potential candidates that will contribute to the continuous growth and development of our talent pool. You will maintain robust data to provide analytics around candidate pipeline and candidate experience
  •  Building strong relationships with our internal teams and external partners is key to this role. Your effective communication style will foster productive collaborations with other teams at Mindbody + ClassPass. These will include our onboarding team, marketing, and hiring managers. You will also work closely with external vendors, clients and contractors.
      

Skills & experience

  • 1 + years’ experience in a customer facing sales or support role.  
  • Proficiency in Greenhouse (Applicant Tracking System) or similar software 
  • Intermediate to advanced proficiency with MS Outlook and Microsoft Office tools. 
  • Well versed with online social tools, such as blogging, Facebook, LinkedIn, and Twitter. 
  • Strong interpersonal skills, teamwork, organization, with superior verbal and written communications.  
  • Proven ability to consistently and positively contribute in a high-paced, changing work environment. 
  • Must be able to prioritize multiple functions and tasks, as well as manage time efficiently. 
  • Self-directed, detail-oriented problem solver with a strong passion to contribute to the team’s success.  
  • Bachelor's degree preferred.  

 

 Principal Duties and Responsibilities:

  • Assist with requisition creation and tracking pipeline progress to closure.   
  • Manage scheduling of phone, video and in-person interviews for Recruiters, Hiring Managers and candidates to ensure a positive and efficient experience.  
  • Arrange candidate travel, transportation, accommodation and help with facilitating candidate reimbursement for any expenses incurred throughout interview process as needed. 
  • Communicate professionally, tactfully, and with the utmost diplomacy, treating all candidates and team members with dignity and respect.   
  • Maintain a high level of confidentiality at all times. 
  • Communicate interview details to candidate and act as the first and primary point of contact on day of-interview for both the candidate and interviewers, including handling all scheduling changes and any other glitches that occur. 
  • Coordinate scheduling of pre- and post-interview debrief meetings and create interview materials for the interview team. 
  • Track open positions and update statistical analysis while keeping thorough candidate documentation.   
  • Additional support for the recruitment team, such as, screening candidate resumes and occasionally filling in for Recruiters as needed. 
  • Manage the background check and pre-employment process for all new hires. 
  • All other duties as assigned.
