We are seeking a highly organized and detail-oriented Production Coordinator to join our Design and Communications team. This role is crucial for streamlining the creative workflow, managing the production of all print and digital assets, and ensuring the final products meet the highest quality and brand standards. The ideal candidate has a strong background in production coordination, exceptional project management skills, and a solid technical understanding of both print and digital production processes.
Project Management & Coordination: Manage multiple design projects simultaneously, track job orders, oversee project workflows, and ensure all deliverables are completed on time and within budget. Collaborate with designers, copy writers, product and operational leaders, developers, and Subject Matter Experts to meet creative objectives and production schedules.
Production & Technical Oversight: Oversee the preparation of final production files for both print and digital use. Ensure files meet specific technical requirements, including a strong understanding of pre-press, printing processes, file formats, and print specifications (e.g., dielines, bleeds, trims). Coordinate the design and production of all print and digital publications.
Vendor & Partner Management: Liaise extensively with and manage external vendors, such as printers and freelancers, to communicate technical specifications, review proofs, and ensure the final product meets quality standards and timelines.
Quality Control & Brand Assurance: Enforce brand guidelines, maintain visual style guides across all projects, and ensure brand consistency across all deliverables. Maintain a keen eye for detail for quality control, proofreading, and technical accuracy.
Workflow Support: Provide support to the Manager and look for continuous improvements for speed and efficiencies within workflows.
This is a Hybrid role, requiring several days per month in office.
Required Skills and Qualifications
Education & Experience:
Associate's or Bachelor’s degree in Communications Design, Graphic Design, Digital Media Design, Marketing, Communications, or a related field (or equivalent work experience).
4+ years of professional experience in a production, coordinator, or related role.
Technical Proficiency:
Expert proficiency with Adobe Creative Suite (Photoshop, Illustrator, and InDesign).
Strong technical expertise and proven understanding of pre-press, printing processes, and file preparation for print, digital, and email media.
Familiarity with asset management tools (e.g. Robohead, Trello, DAM systems).
Expert proficiency in Google Suite and Microsoft Suite.
Working knowledge of file transfer protocols and asset management systems.
Attention to and knowledge of trademark, copyright, and accessibility standards.
Fluent in English.

Exceptional organizational and project management skills with the ability to prioritize tasks and manage multiple projects simultaneously.
Strong verbal and written communication skills to effectively coordinate with designers, production teams, and external vendors.
A keen eye for detail is crucial for quality control and technical specifications.
Ability to prioritize jobs, adapt quickly to changing priorities, and deliver high-quality work under pressure and tight deadlines.
Preferred Qualifications
Familiarity with project management or asset management tools (e.g. Robohead, Trello, DAM systems).
Experience designing survey, letter and brochure templates.
