EXPERIENCES / Responsible for planning and executing event and experiential marketing programs.

Our headquarters is in Stamford, CT, but the location of this position can be flexible with a priority given to candidates open to hybrid work (3 days week in office) in one of these office locations - - Stamford, CT, New York, NY, Charlotte, NC, Chicago, IL, or Atlanta, GA. The Charlotte location is highly preferred.

The Senior Event Executive will support a team in developing innovative hospitality and event activations across our client’s sports and lifestyle programming.  You’ll work closely with both the agency and client team to support the program development, planning documents, and execution of various events and hospitality experiences across a spectrum of sports, entertainment, and cultural platforms!

With the team located across a few Octagon offices, there will be broad exposure to the events and hospitality industry, with tremendous potential to learn and gain hands-on experience. This position will be exposed to high-profile partners and expected to collaborate with internal teammates, agency colleagues, preferred vendors, and VIP customers.

THE WORK YOU’LL DO

  • Support the Production Team in managing and executing branded events and consumer activations
  • Communicate clearly and effectively with clients, vendors, venues, and partners
  • Project manage multiple programs simultaneously, using superior attention to detail and client management skills
  • Co-lead all weekly status calls and other key meetings with both internal and external constituents
  • General account management and assistance with client requests
  • Prepare and distribute event status meeting notes, execution guides, staff implementation guides, itineraries, meeting notes and post-event recaps
  • Produce written communications for clients and the internal team, including presentations, event reports, case studies, competitive reports, etc.
  • Assist in research, booking, and organizing logistics for events, including but not limited to, decor, lodging, transportation, production services, and talent appearances. Become a trusted resource for clients
  • Coordinate with vendors and supplies to ensure timely delivery and setup
  • Lead on-site temporary staff at event activations
  • Exemplary service onsite for clients and guests at all program events
  • Support the event planning team in managing schedules and timelines
  • Support the Account Manager in the management of documents such as budgets, status reports, inventory tracking, and meeting agenda and notes
  • Manage vendor payments and track program budgets
  • Additional projects as assigned, which may include assistance on other events/programs, competitive research, property research, etc.
  • Contribute day-to-day functions to help the team succeed

WHO WE’RE LOOKING FOR

  • 2-3 years of relevant experience; sports, event, or hospitality experience preferred
  • Have a passion for and expertise in sports, entertainment, gaming, music and/or celebrity & lifestyle culture!
  • A "no job is too small or too big" mindset, with a can-do attitude and desire to succeed and learn in a fast-paced work environment
  • Quick learner with confidence in managing multiple programs at once
  • Strong interpersonal and communication skills (both written and verbal)

  • Ability to form effective links with clients; flexible and adaptable in working with various personalities
  • Enjoys coming up with fun ideas and bringing them to life

  • Excellent organizational skills, attention to detail, and the ability to multitask
  • Proficiency with Microsoft Office Suite (Outlook, PowerPoint, Word, Excel)
  • Ability to lift up to 50 lbs. and stand for up to or more than eight hours at a time
  • Flexibility and willingness to travel domestically and internationally, and work weekends or holidays as needed. Anticipated travel level: Moderate (40%-50%)

This position pays $50,000, is overtime-eligible, and comes with a comprehensive benefits package.
