We’re looking for a Shipping Administrative Specialist to join our shipping team to provide administrative and secretarial support for multiple types of shipments, including cards, coins, banknotes and autograph submissions. We are looking for someone to help handle any potential issues before or during shipments, so that the shipping process runs smoothly and that customers receive their submissions in a timely manner.

You’ll report to our Shipping Supervisor, PCGS and work from our Santa Ana office. Remote positions are not available.

What You’ll Do:

  • Assist the Shipping Supervisor in multiple types of administrative tasks.
  • Assist the Shipping Supervisor with Aging reports
  • Assist the manager with Investigations
  • Answer general shipping inquiries from non-shipping departments and customers.
  •  Manage returned packages and contact customers regarding reshipment of their orders. 
  • Help to answer shipping inbox emails
  • Communicate directly with customers to resolve shipment delays
  • Creating reports from shipping data as requested.
  • Walkthroughs of special orders.
  • Reviews, recalls, and resubmissions of orders as requested by both customers and non-shipping departments.
  • Manifest orders being delivered to the show
  • Assist shippers in off time with packing and supplies for orders
  • Contacting postal couriers (USPS, FedEx) to investigate missing and delayed shipments – will include coordinating with Customer Service management for insurance claims on shipments declared as lost.
  • Assist the department with audit scans 
  • Assist Shipping Clerks with orders that require clarification. 

Who You Are: 

  • An organized, detail-oriented problem solver.
  • Strong interpersonal skills to communicate in and out of the company.
  • Productive and motivated to meet deadlines and goals.
  • Adherent to policies and procedures required in the shipping department and Collector’s Universe as a whole.
  • Strong understanding of Windows and Microsoft programs such as Outlook, Word, and Excel.
  • 2 years of Customer Service experience preferred.
  • High school diploma or GED, or related experience and education preferred.

 Physical Requirements:

  • Bending and Twisting: Bending neck/waist, twisting neck/waist, and squatting.
  • Computer Use: Typing, mouse work, and sitting and looking at a computer potentially for long periods of time.
  • Hand Use: Regular hand use for various tasks, potentially including the use of pliers, watch tools, or a holder saw.
  • Hearing Requirements: Ability to hear alarms, signals, and verbal instructions.
  • Lifting and Carrying: Ability to lift, carry, and move materials up to 50 pounds.
  • Sitting or Standing: Ability to sit or stand for extended periods of time.
  • Temperature and Humidity: Occasional exposure to warehouse environments without heating or cooling with fluctuations in temperatures and humidity.

Hourly Rate

The reasonable estimated hourly rate for this position is $21.50. Actual compensation varies based on a variety of non-discriminatory factors, including location, job level, prior experience and skill set.
