The Workplace Experience Coordinator ensures an organized, efficient, and welcoming office environment that supports day-to-day workplace operations and enhances the employee experience. This role primarily supports Kabam’s Vancouver headquarters, while also providing remote coordination and administrative support for Kabam’s smaller office locations as needed. The role exists to maintain office functionality, support facility maintenance, coordinate workplace programs and events, and create a positive atmosphere for employees. It collaborates with internal stakeholders across departments, building management, service providers, and suppliers to support employee engagement, office operations, and a productive, connected workplace experience.
 
This role is a full-time, on-site position based 5 days a week at our Downtown Vancouver studio.

In this role, you can expect to:

Workplace Operations & Facilities Management:

  • Maintain a professional, organized, and functional workplace environment across Kabam’s Vancouver headquarters, including meeting rooms, kitchens, collaboration spaces, and common areas through regular walk-throughs and checks.
  • Coordinate day-to-day workplace operations for the Vancouver headquarters and support remote workplace requests from smaller office locations as needed.
  • Monitor office equipment, furnishings, and workplace systems to ensure functionality and cleanliness.
  • Coordinate with building management, contractors, service vendors, and internal teams regarding repairs, maintenance, deliveries, and facility-related projects.
  • Manage inventory and ordering for office, kitchen, first-aid, and workplace supplies while maintaining budget awareness.
  • Support vendor onboarding, communications, scheduling, invoicing, and adherence to vendor payment procedures.
  • Communicate building notices, workplace updates, operational changes, and other relevant information to employees.
  • Assist with workspace planning, desk setups, moves, and workplace reconfigurations as required.
  • Employee Experience:
  • Support and help lead employee engagement initiatives that foster a positive, inclusive, and connected workplace culture.
  • Coordinate and execute employee events of varying scale, including team events, celebrations, seasonal initiatives, lunches, and company-wide gatherings.
  • Assist in planning recognition and milestone programs, including celebrations for birthdays and other employee milestones.
  • Partner with cross-functional teams, including HR, IT, People, and Leadership, to support workplace initiatives and employee experience programs.
  • Administrative Support:
  • Perform administrative tasks including courier scheduling, mail and package coordination, voicemail management, and document organization.
  • Maintain workplace records, inventories, vendor contacts, and operational documentation for the Vancouver headquarters, while supporting documentation needs for smaller office locations as required.
  • Track event-related expenses and support budget management activities as required. 
  • Assist with workplace reporting, process improvements, and operational planning initiatives.
  • Health and Safety:
  • Support workplace health and safety initiatives, emergency preparedness activities, and office compliance standards, including assisting with emergency drills and maintaining up-to-date preparedness procedures.
  • Monitor inventory of first-aid supplies and safety equipment, coordinate replenishment, and escalate concerns as needed.
  • Serve as an active member of the Joint Occupational Health & Safety Committee (JOHSC), contributing to workplace safety initiatives, inspections, audits, employee communications, and compliance efforts.

  • To be successful in this role, your background includes:
  • A university degree or college diploma in business or public administration is preferred.
  • 2+ years of similar experience working in a tech company of a medium to large size; preference for additional Facilities certification.
  • Excellent interpersonal and communication skills, with a customer-focused mindset.
  • Strong organizational and multitasking abilities, with attention to detail.
  • Positive attitude and a proactive approach to problem-solving.
  • Committed to contributing to a positive workplace experience and supporting team productivity.
  • Proficient in Google Suite and workplace management tools (e.g., Slack, Asana).
  • Ability to handle sensitive information with discretion and professionalism.
