This is a temporary position with an expected duration not to exceed (10) months. Essential Functions and Job Summary The Corporate Services Coordinator will be assisting senior management with all projects and tasks related to different meetings, social events and functions for the Corporate Services team. Major Responsibilities Support Corporate Services senior management in all areas of events/projects: including but not limited to Budgeting and actualizing projects, scheduling meetings, organizing and shipping of equipment and supplies, coordinating with other department’s staff/vendors, coordinating travel and accommodations and distributing schedules, crew lists, scripts and rundowns. Travel when necessary. Cover events when necessary, quality control audio and video setups Attend meetings with clients and vendors to take notes and be involved in projects from conception through completion Assist with scheduling personnel for shoots Complete any pre-shoot questionnaires and paperwork required by the Facilities department to shoot in the NBA offices. This also includes obtaining COIs and working with legal on talent release forms and location agreements if necessary Set-up and attend testing of zoom calls and hybrid meetings and if necessary Attend site surveys for events and meetings Coordinate meetings/events based on Corporate Services standard operating procedures Research additional vendors and suppliers when necessary Responsible to actualize jobs, ensure all vendors are paid on time, complete the execution of contracts and schedule all recap meetings to review potential areas for improvement and best practices. Maintain files on annual projects, production calendars and update project lists with all final documents Order supplies and merchandise as needed Responsible for submitting expenses and invoices Help identify areas for improved processes to help achieve departmental goals. Required Education/Professional Experience A degree in film, marketing, communication, production and event management or a related field preferred. Prior experience in the film/event production industry is a plus. Prior experience with production and event support required Required Skills/Knowledge Attributes Able to work independently, with minimal supervision Excellent time management and communication skills. Ability to prioritize and multi-task. Role may be required to work flexible work hours. Knowledge of Excel, Microsoft Word, and Google docs Salary Range: $26.44/hour - $31.25/hour The NBA does not accept unsolicited resumes from search firms or any other third parties.
